How to connect a website, CRM and newsletter
A visitor signs up on your website. Their contact reaches the right place and the agreed communication follows. When this path works, you do not need to copy email addresses between tools or track down what happened to a sign-up.
Start with the next step
Your website, CRM and newsletter have different jobs. The website explains your offer and captures interest. The CRM helps manage contacts and open enquiries. The newsletter supports regular communication with people who have subscribed.
Begin with a simple question: what should happen after someone submits the form? An enquiry might need a reply from a person. A newsletter sign-up might need confirmation followed by a welcome message. One form does not have to trigger both.
BeLimitless: from a form to a subscriber
For BeLimitless, we connected the website form to MailerLite. After a sign-up, the contact is saved in the newsletter tool and added to the relevant group. Contacts no longer need to be copied manually from the website.
This part follows rules; saving an email address does not need AI. The CMS handles website content. We choose tools according to the job they need to do, rather than adding as many applications as possible.
Transfer only what you need
For each field, decide where it will be saved and who will use it. A newsletter usually needs an email address and a record of the sign-up. A business enquiry may also need a name, a brief and assignment to someone who will reply.
Sending an enquiry and subscribing to a newsletter are separate actions. Set up follow-up communication around the purpose of the form and the chosen sign-up process. Subscribers should also be able to unsubscribe, and that change must be reflected in future sends.
Test what happens when something fails
A success message on the website does not prove that the contact reached the right group or that an email arrived. Check each step separately.
- A valid contact reaches the right group and receives a confirmation.
- Submitting the same email again does not create unwanted duplicates.
- An invalid email gets a clear explanation beside the field.
- An unavailable service does not cause the form to show a false success.
- Unsubscribing is respected in future communication.
Measure the completed journey
Track form views, started sign-ups and accepted contacts. Compare accepted contacts with the newsletter tool. Any difference helps locate a break in the journey.
Do not send names, email addresses or message content to analytics. To assess the form journey, you only need to record that a visitor completed a particular step. A server accepting an enquiry, an email arriving and winning a customer are three different outcomes.
Where to start in your business
Write down one form, the place where its contacts should be saved and the first message that should follow. Then work through that path from beginning to end. Once it works reliably, you can add more groups, branches or AI.
At Bakery, we connect websites, contacts and communication around your everyday work. If you already use tools, we start by assessing what is worth keeping.
